Opportunity description

Chalhoub Group offers a job opportunity as an experienced Executive Assistant in United Arab Emirates for 2021. The Executive Assistant to a C-Level provides high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

Job Responsibilities:

  1. Organizational and Executive Assistance.
  2. Manage the Manager's diary and appointments.
  3. Screen incoming calls and correspondence and responds independently when required.
  4. Review selected documents that come to the Office of the Country Manager and make recommendations for action.
  5. Liaise with relevant individuals, departments, and external customers and suppliers on Country Manager’s behalf and ensure smooth and efficient communication flow.
  6. Assist in presentations and other reports and documents as needed.
  7. Manage in coordination with travel department travel plans, itineraries, expenses and travel-related documents.
  8. Assist in planning and organising visits of selected visitors.
  9. Create and maintain database and spreadsheet files.
  10. Follow-up on progress of directives and projects managed by the Country Manager.
  11. Conduct research and prepare statistical reports.
  12. Arrange and coordinate events etc. when required.
  13. File and retrieve corporate documents, records, and reports.
  14. Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.

Qualifications:

  1. Having strong people management skills along with the ability to provide support to senior management and work collaboratively with the leadership team.
  2. Previous experience of working in international, global companies with diverse audiences in a similar role.
  3. Understanding the Luxury market.
  4. Can provide examples of strong brand communication campaigns and effective storytelling.
  5. Have high emotional intelligence and ability to understand cultural nuances.
  6. Great office management project coordination experience.
  7. Excellent at collaborating.
