Opportunity description

Global Green Growth Institute (GGGI) offers a job opportunity in Jordan as a Finance and Administration Senior Assistant. You will execute comprehensive transactions across a range of administrative, financial, and procurement processes ensuring quality across specific projects and/or output delivery comply with the policies, procedures, guidelines, rules, and regulations of GGGI. You will be based in GGGI’s Amman office within the Jordan Ministry of Environment. Under the guidance of the Country Representative, you will execute day-to-day administrative tasks, financial reporting and planning, comprehensive communications, and outreach activities related to the program’s work on green growth and climate action planning and implementation.

Duties & responsibilities

You will be responsible for:

  1. Support the country team in the implementation of the procedures, policies, and tools of all operational transactions required for procurement, monthly financial reporting, and communication updates.
  2. Work closely with the Government of Jordan, the Country Representative, all GGGI staff, and other partners to schedule meetings, arrange workshops, and organize & prepare events.
  3. Working closely with other members of the team, support the development of project communications outputs as appropriate.
  4. Coordinate with Procurement, Communications teams, and facilitate program activities in the country.
  5. Communicate issues and risks that will affect consistent program/project delivery and report to a country representative.
  6. Communicate program needs to service providers/suppliers and ensure that services/products are delivered in line with established agreements.
  7. Maintain program filing system and safeguard standards of reporting/documentary quality to support reporting to donors and program stakeholders.
  8. Ensure system is in place to manage office and IT inventories.
  9. Ensure smooth day-to-day running of the office in Jordan in close collaboration with and under the supervision of the country representative.
  10. Capture lessons learned to support refinement/improvement of existing policies and procedures.
  11. Performs other administrative support as required in support to the Country Representative and other team members as appropriate.

Eligibility criteria

You must have:

  • A Bachelor’s degree in any one of the following fields: business administration, management, procurement, communications, and related fields.
  • Preferably 5 years of experience in procurement, event facilitation, human resources, budget reporting, and related fields.
  • Experience working with government and multi-stakeholders.
  • Fluency in written and verbal English and Arabic.
  • Experience with the UN system or other international organizations is a plus.
  • Excellent level of proficiency in Microsoft Office applications (Word, Excel, PowerPoint, etc.).
  • Proficient in Project Management Information Systems (PMIS); and or Enterprise Resource Management systems (ERP).
  • Ability to liaise and work fluidly and seamlessly with relevant units and staff.
  • Be highly organized and able to effectively and efficiently multi-task and prioritize.
  • Dedicated team player, with a result-oriented, proactive, and creative mindset to solve problems.
  • Able to perform duties on time and within budget.
  • Takes a proactive approach and works independently with minimum supervision to solve issues arising.
  • Willingness and ability to travel (domestic) as needed, especially to events that the Program is organizing or participating.
  • Understand and actively support GGGI's mission, vision, and values.
  • Process and share information easily and be excellent at problem-solving.
  • Demonstrate a high level of integrity in handling privileged information and in the stewardship of public resources.
  • Able to support the Country Representative in all aspects of procurement, event organization, and GGGI assets management.

Benefits:

  • Your salary commences at USD 22,190 per annum. GGGI provides 13% of base salary towards retirement plan/long-term savings, 27 days of annual leave, and contribution towards private health insurance that covers dental and vision.
