Opportunity description

Ajman University offers a job opportunity in UAE as an Assistant Secretary. You will perform staff administrative duties and varied staff assistance at a paraprofessional level. You will be responsible for daily office management, correspondence, and secretarial matters.

Duties & responsibilities

You will be responsible for:

  1. Screen incoming mail and telephone calls; uses discretion to respond on own initiative, redirect to subordinates as appropriate.
  2. Performs typing and transcription duties as required.
  3. Assist as required other staff members in the accomplishment of objectives, conferences organization, event planning, and assigned duties.
  4. Help in the daily and smooth running of the office/department.
  5. Helps in arranging, participating, and implementing, as directed, conferences and committee meetings.
  6. Prepares the agendas and takes minutes for the meeting. 
  7. Serves as administrative liaison with other departments on campus and outside organizations and agencies concerning administrative policies, procedures, and practices.

  • Be knowledgeable in the areas involving office management and administrative procedures. 
  • Ability to maintain confidentiality. 
  • Possess knowledge of computer technology.
  • Time management skills are needed to meet deadlines. 
  • Possess excellent oral and written communication skills. 

Working conditions:

  • Work is normally performed in a typical interior/office work environment.
  • No or very limited physical effort is required.
  • No or very limited exposure to physical risk.
