Opportunity description

Al Futtaim is offering a job opportunity as an experienced Personal Assistant to join the Transformation Management team in Dubai, United Arab Emirates

Duties & responsibilities

  1. Managing the Executive's day-to-day calendar, including scheduling meetings, handling phone calls and prioritizing appointments where appropriate.    
  2. Preparing, formatting and editing information for internal and external communication – memos, emails, PowerPoint presentations, reports etc. 
  3. Maintaining records and any other documents. 
  4. Completing expense Reports, handling petty cash and managing Invoice payment administration for the Executives.
  5. Booking and arranging Business travel, transport and accommodation.
  6. Act as gatekeeper and escalate relevant information to Executives as needed.    
  7. Taking minutes during meetings.
  8. Maintaining comprehensive and accurate corporate records, documents and reports.
  9. Liaison with other functions as and when required (e.g., IT Team, Procurement Team).
  10. Assisting Executives with a variety of projects and processes as required.              
  11. Managing and ordering stationary.

Eligibility criteria

  1. Bachelor’s Degree in any field.
  2. Minimum 3-5 years of Executive Assistant experience.
  3. Fluent in English (excellent written and verbal communication skills).
  4. MS Office knowledge (MS Word, MS PowerPoint, MS Excel is essential).
  5. Familiarity with office gadgets and applications (e.g., Business telephones, photocopier machine, scanner etc.).
  6. Ability to multitask and prioritise tasks.
  7. Excellent time management skills.
  8. Attention to detail.
  9. Professional discretion.
  10. Ability to work effectively with minimal supervision.
  11. Very strong interpersonal skills and the ability to build relationships with stakeholders.
