Opportunity description

WFP is offering a job opportunity as an Administration Associate in WFP Regional office in Cairo, Egypt. To support the administrative operations within the Regional Bureau in Cairo, through coordinating and controlling a full range of administrative services in the areas of Travel Management, Vendor Management and Fleet Management while adhering to WFP policies and guidelines. To coordinate and provide high quality, client-focused and value-for-money oriented administration services.

Duties & responsibilities

(not all-inclusive):

  1. Verify resource requirements in the areas of responsibility (Travel, Vendors, and Fleet Management) and assist in the identification of new requirements to facilitate efficiency and cost-effectiveness of operations and services.
  2. Responsible for provision of services such as travel management, vendor management and light vehicle management and report any discrepancies or issues to the supervisor while suggesting solutions to resolve those issue.
  3. Support the production of various data, compile and prepare reports in order to contribute to the provision of accurate information for informative decision-making and to support the effective and timely management of WFP resources.
  4. Partner with other units while planning, monitoring and processing administrative actions that are interrelated with other functions such as procurement, finance, human resources, security, events management… etc. 
  5. Manage contracts with external vendors while ensuring that all data is accurately and timely recorded, processed in WFP corporate systems and any operational issues are addressed.
  6. Identify evolving needs, gaps and recommend changes in the Administration processes and procedures in the areas of responsibilities to support improvement and contribute to the development and update of administrative processes such as drafting Standard Operating Procedures (SOPs) to guide delivery of services within the areas of responsibilities. 
  7. Adapt to new admin rules and directives and provide training and guidance to staff in interpretation of administrative procedures, policies, and the use of corporate systems.
  8. Perform other duties as required.

Eligibility criteria

  • Holder of a bachelor degree in Business/Public Administration, Commerce, Management or any other related field.
  • Six or more years of work experience in general administration work.
  • Direct experience in travel, fleet and vendor management.
  • Experience in providing trainings to different audiences is highly desirable.
  • Previous UN experience or int’l experience is an asset.
  • Previous experience with ERP systems is an asset.
  • Fluency in both written and spoken English (level C) and Arabic.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

  1. Demonstrate subject matter expertise in at least two of the following areas: travel management, fleet management and vendor management. 
  2. Proficiency in MS Office (Word, Excel and PowerPoint).
  3. Excellent interpersonal and communication skills.
  4. Team player and ability to work in a multicultural environment.
  5. Leadership skills and ability to lead a team smoothly and efficiently.
  6. Highly motivated, committed and flexible in meeting work exigencies
