Entreprenista is seeking a highly skilled Virtual Assistant to join its dynamic, women-led team. The ideal candidate is detail-oriented, tech-savvy, with excellent communication skills and a passion for helping others. The ideal candidate is adaptable, proactive, and able to juggle multiple tasks efficiently in a fast-paced startup environment. Experience with community management, AI, and/or event coordination is a plus.
This role offers an exciting opportunity to contribute to numerous business areas and learn in an entrepreneurial environment. This is a freelance/contract position starting at 20 hours per week, with the potential to increase to 30-35 hours. The weekly schedule is flexible/negotiable.
Responsibilities:
Administrative and Data Management:
- Maintain back-end systems and member records across multiple platforms.
- Data entry for weekly/monthly metrics reporting.
- Pull data reports from various systems and cross-check data.
- Support maintenance of data and task/project trackers.
- File organization and document management.
- Utilize AI technology to streamline processes.
Programming and Events Support:
- Assist the community manager with event coordination and execution.
- Manage event-related tasks using ClickUp and other project management tools.
- Occasionally assist with back-of-house tasks during Zoom events.
- Create content and promotional materials using Canva templates.
- Send event recap emails and upload recordings.
Community Management Support:
- Schedule and post content according to the editorial calendar.
- Assist in building mass email communications.
- Assist in monitoring inbound member communication channels and respond to customer service inquiries using pre-approved templates.
- Place swag orders for the ambassador program.
- Conduct research and information gathering.
- Support other day-to-day membership and community management tasks.
Eligibility:
- 1+ years of experience as a virtual or executive assistant.
- Strong organizational skills and attention to detail.
- Experience in a fast-paced environment.
- Excellent verbal and written communication skills.
- Self-motivated, proactive, and able to work independently.
- Process and data-oriented; able to identify inefficiencies and offer solutions.
- Proficiency in G-Suite, especially Google Sheets.
- Experience with Canva, Zoom, Circle, Klaviyo, Typeform, etc.
- Experience with CRM/CMS platforms (a plus).
- Experience with AI technology (a plus).
