Opportunity description

The World Health Organization (WHO) is offering a funded volunteering opportunity for a Guest House Assistant in Sudan through the United Nations Volunteers (UNV) program.

The assignment will last for 6 months, with the possibility of extension, on a full-time, on-site basis at the United Nations premises. The expected start date is September 1, 2026.

The volunteer will support the day-to-day management of the guest house, including handling reservations and guest inquiries, ensuring rooms are ready, coordinating with housekeeping and maintenance teams, supervising services and vendors, and helping organize events and receptions at the office premises.

This opportunity is suitable for candidates with experience in hospitality, hotel management, guest services, facilities management, administration, and operational coordination, particularly those with previous experience in an international work environment or with the United Nations and non-governmental organizations.

Duties & responsibilities

The volunteer will be responsible for:

  • Managing guest reservations and inquiries via phone, email, and other communication platforms.
  • Monitoring room occupancy and organizing bookings to ensure optimal use of available facilities.
  • Coordinating with the housekeeping team to ensure rooms are prepared before guests arrive.
  • Maintaining accurate records of guest information, payments, and preferences.
  • Conducting regular inspections of guest house facilities and identifying maintenance needs.
  • Keeping records of maintenance work, repairs, and preventive inspections.
  • Supervising cleaning services, laundry operations, and inventory of supplies.
  • Recommending improvements to operational processes and procedures.
  • Overseeing service requests and coordinating task assignments with the supervisor.
  • Monitoring contracted service providers to ensure compliance with agreement terms.
  • Recommending corrective actions when service quality issues arise.
  • Supporting the procurement of goods and services required for building maintenance.
  • Assisting with the organization of events and receptions at the organization’s office premises.
  • Supervising external personnel involved in building management services.
  • Preparing purchase requests and ensuring that purchase orders are issued and goods or services are received when required.
  • Monitoring the performance of service providers to ensure quality and compliance with contractual agreements.
  • Carrying out any additional work-related duties requested by the supervisor.

Eligibility criteria

Applicants must:

  • Be between 18 and 60 years old.
  • Have the required experience in a relevant field.
  • Note that the announcement lists 3 years of required experience in the eligibility section, while the relevant experience section mentions 4 years. Therefore, applicants are advised to have strong professional experience of approximately 4 years in a similar field.
  • Hold a bachelor’s degree in Guest Services, Hospitality, or a related field.
  • Preferably have previous experience working in a guest house or hotel.
  • Be fluent in Arabic.
  • Be fluent in English.
  • Have good computer skills, including proficiency in Word, Excel, and PowerPoint.
  • Be able to work in a challenging and changing environment.
  • Be capable of working effectively within a multicultural team.
  • Be able to work independently with limited supervision.
  • Be able to meet deadlines and work effectively under pressure.
