Opportunity description
The United Nations Volunteers (UNV) program is announcing a volunteer opportunity as a Facilities Management Assistant in South Sudan. The Accommodation Management Unit is responsible for implementing policies and procedures related to the provision of accommodation for UNMISS staff and non-UNMISS staff residing within the Mission premises. Its services include allocating permanent and temporary accommodation, managing meeting room reservations, processing requests for modifications to UNMISS-provided accommodation, distributing water to offices, and ensuring payment of rental rates for UNMISS-provided accommodation and use of facilities within the Mission compounds. With the high turnover of Mission staff, especially military personnel, and the shortage of available housing, the Accommodation Management Unit is committed to ensuring the prudent management of the accommodation facilities. You will work under the overall supervision of the main Accommodation Management Unit or their delegates.
Duties & responsibilities
You will be responsible for:
- Participate in the development and review of technical specifications for accommodation items.
- Conduct technical assessment of items to be purchased under the purchase order.
- Respond to vendors’ questions regarding item description during procurement.
- Conduct technical inspection of accommodation items delivered to the mission to ensure compliance with the desired quality or fitness for purpose.
- Collect accommodation item requirements from field offices for procurement and distribution plans.
- Prepare item distribution plan for all locations and share with the supply warehouse for implementation.
- Monitor the progress of implementation of distribution plans and keep field offices updated.
- Provide regular updates to field offices on the status of accommodation item procurement.
- Prepare and monitor all required tracking tools (asset register).
- Monitor stock level of stored items, conduct regular inventory and initiate restocking process.
- Coordinate with Area Managers to ensure compliance with room inventory due to availability of items on request or check-in and check-out.
- Process iNeed requests within the required time.
- Coordinate with Area Managers to ensure proper disposal of defective items in the respective areas.
- Process incident reports for any damage to accommodation items.
- Approve transfers of items between accommodation locations.
- Provide support to camp reception by receiving and processing accommodation requests in a fair and transparent manner, check-in and check-out, change and swap accommodation, create and submit engineering work orders for accommodation and conference rooms, manage, maintain and update accommodation waiting lists, etc. as needed.
- Inform new staff members and camp visitors of rules and regulations.
- Prepare an individual work plan that aligns with service delivery/mission objectives and priorities and update it in Inspira within deadlines.
- Meet deadlines for any assigned tasks, performance appraisals, reports, complete mandatory trainings and attend meetings.
- Perform any other duties as assigned by your supervisor or Performance Monitoring Unit Head.
Eligibility criteria
You must have:
- You must be between the ages of 18 and 80.
- 3 to 15 years of experience.
- You must be a citizen of a country other than the country of opportunity.
- Fluency in English.
- Bachelor’s degree or equivalent in supply chain management, operations and logistics management, facilities management, hospitality management, property or asset management.
- Adaptive and flexible.
- Creative skills.
- Decision-making ability.
- Planning and organizing skills.
- Professionalism and integrity in work.
- Living conditions vary between UNMISS duty stations. Each duty station has a basic residential camp, with running water and electricity.
- You should be aware that accommodation may be spartan with the possibility of water shortages and power outages.
- All UNMISS duty stations, with the exception of Entebbe, Uganda, are non-family duty stations. The level of security at UNMISS duty stations is rated by the UN Department of Safety and Security (UNDSS) who will provide a briefing upon arrival. There are a number of locations in South Sudan that are exposed to conflict. Primary health care services (preventive and curative) are provided in 11 UNOE Level I clinics, 21 Contingent Equipment (COE) Level I clinics and 5 COE Level II medical facilities within the mission area.
