Opportunity description

The United Nations Volunteers Program is offering a volunteer opportunity as a Facilities Management Assistant in Sudan. You will be accountable to the head of the Facilities Management and Environment Unit to support and implement the operations and provision of effective and efficient facilities management services to UNISFA.

Duties & responsibilities

You will be responsible for the following tasks:

  • Implementation/Operations:
  • Receive, analyze, and review service requests, including equipment installation. Setting work priorities and plans, preparing work orders, and following up on service.
  • Analyze and interpret resource consumption data using statistical techniques for water, electricity, and fuel consumption for decision-making.
  • Identify, analyze, and interpret trends or patterns in complex data sets.
  • Assist in the preparation of maintenance services projects for existing facilities and infrastructure, construction work, and modifications including preparation of scope of work, technical specifications, bills of quantities, and cost estimates.
  • Assist the Facilities Management Supervisor in the management of accommodation for civilians and uniformed personnel.
  • Conduct technical assessments of existing buildings and infrastructure.
  • Assist in scheduling and supervising minor repairs, cleaning, and waste collection.
  • preparing and writing requisitions for the purchase of equipment, materials, spare parts, etc.; Reviewing and evaluating offers and coordinating with the Procurement Unit.
  • Planning:
  • Plans, schedules, and supervises the construction, repair, maintenance, and installation of conventional buildings, temporary buildings, and infrastructure within UNISFA buildings using FRIM data.
  • Planned, scheduled, supervise, and coordinated maintenance services for facilities, systems, and equipment throughout buildings through the use of iAuditor and other task platforms.
  • Support the development of a quality assurance plan to provide a systematic way to monitor facility performance.
  • Participate in the development of risk assessments and management plans using resource consumption data.
  • Administration:
  • Use resource consumption data as input for risk management planning.
  • Identify root causes of poor performance and suggest corrective actions to improve operations.
  • View maintenance logs and work orders from Comindware and develop a mechanism to address any problem.
  • Maintain records of all existing MoUs and ensure they are kept up to date.
  • Preparing weekly and monthly reports on the consumption of water, electricity, and fuel.
  • Support office management, records, and staff check-in/check-out process.
  • Any other duties assigned to you.
  • Preferably:
  • Enhance your knowledge and understanding of the concept of volunteering by reading relevant UNV and external publications and actively participating in UNV activities (such as events celebrating International Volunteer Day).
  • Learn about traditional and/or local forms of volunteering in the host country; Communicate and build relationships with local organizations, groups, or individuals, and support and/or participate in local volunteer initiatives.
  • Contribute articles/writings on field experiences and present them as publications/articles on UNV websites, newsletters, press releases, etc.
  • Starting and/or participating in local volunteer groups, including helping them submit stories and experiences to the Global Volunteer website.
  • Promote or advise local groups in the use of the Online Volunteering Platform, or encourage relevant local individuals and organizations to use the UNV Online Volunteering Service whenever technically feasible.
  • Encourage, mobilize, and support your co-workers, fellow UN Volunteers, and members of the local community to play an active role in various peace and development activities.
  • Assisting with the UNV Buddy Program for newly arrived UN Volunteers.

Eligibility criteria

  • You must be between 27 and 80 years old.
  • The candidate must be a national of any country other than the country of appointment.
  • You must have 8 years of experience in engineering, data analysis, management, project management, and construction, in addition, to experience in data analysis and reports. Strong analytical, planning, and organizational skills with the ability to manage competing demands are preferred.
  • Preferably experience in service delivery in engineering or field operations of the United Nations common system or similar international organization.
  • Preferably experience in international operations in a post-conflict environment.
  • You must have experience in facilities management, engineering, and construction.
  • You must possess a manual driving license.
  • It is preferred that you be fluent in the English language.
  • Technical/Vocational Diploma, High School Certificate, or equivalent. Technical or professional certificate/diploma in engineering technology, construction, project management, statistics, or any related discipline.
  • Professionalism at work. Comprehensive technical knowledge of sustainable facilities management solutions and accommodation-related maintenance and repair; Ability to simplify complex information and communicate this information to team members with less technical knowledge; Good adaptive skills to find creative solutions to different contexts; Demonstrate professional competence and mastery of the relevant subject matter; fulfilling commitments, adhering to deadlines and achieving desired results; persevere when faced with difficult problems or challenges; staying calm in stressful situations; Ensuring the equal participation of women and men in all areas of work; Demonstrate knowledge of strategies and commitment to the goal of achieving gender balance at work.
  • Communication skills, the ability to speak and write clearly and effectively; listen to others, correctly interpret messages from others and respond appropriately; ask questions for clarification and express interest in establishing a two-way communication process; adapt your tone, style and look to suit the audience; Show openness in sharing information and keeping people up to date.
  • Teamwork skills. Work collaboratively with colleagues to achieve organizational goals. You must be willing to learn from others and act on the final group decision, even when those decisions do not reflect your own position. Accept joint responsibility for the team's shortcomings.
