Opportunity description
The United Nations Volunteers program offers a volunteer opportunity as an Assistant Procurement Officer in Spain. You will be primarily responsible for procurement activities related to processing purchase orders and performing various procurement administrative tasks. In this position you will work under the supervision of a staff member in the program's procurement unit.
Duties & responsibilities
You will be responsible for:
- Preparing contracts for signing after coordination with the legal unit and/or the purchasing unit and/or the technical unit.
- Providing administrative support during the preparation of purchase requisitions and ensuring compliance with WHO procurement rules and regulations.
- Coordinate effectively with requesting units to collect information to submit purchase requests in a timely manner.
- Processing purchase requests for goods and services using UNICC's internal procurement system.
- Coordinate with vendors to support the procurement team in obtaining quotes.
- Create supplier accounts and process purchase orders in the ERP system.
- Maintain an updated list of suppliers.
- Organize and save purchasing documents into relevant SharePoint folders.
- Perform any other duties required.
- Enhance your knowledge and understanding of the concept of volunteering by reading relevant UNV and external publications and actively participating in UNV activities (for example in events like World Volunteer Day).
- Recognize and build on traditional and/or local forms of volunteering in the host country.
- Contribute articles/content on field experiences and submit them to UNV publications/websites, newsletters, press releases, etc.
- Assistance with the UNV Buddy program for newly arrived United Nations Volunteers.
- Promote or advise local groups on the use of online volunteering, or encourage individuals and relevant local organizations to use the UNV online volunteering service whenever technically possible.
Eligibility criteria
You must:
- Be between 18 and 80 years old.
- Be a citizen of any country other than the country of appointment.
- 3 years of experience in contract management, procurement, or any related field.
- Good computer skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook, Teams, etc.) and SharePoint.
- Good contract or procurement management skills.
- Good skills in dealing with people from different national and cultural backgrounds.
- Good communication skills.
- Preferably have working knowledge of ERP systems such as Oracle.
- Knowledge of ServieNow and/or Microsoft Dynamics365 basics.
- Fluency in English.
- It is preferable to have a working knowledge of the Spanish language.
- Holds a high school diploma.
- Ability to communicate in a reliable and effective manner.
- Teamwork skills.
- Planning and organization skills: Ability to plan and prioritize work effectively in coordination with the responsible supervisor.

- UN Volunteers Benefits and Allowances: The purpose of the allowances and benefits paid to UN Volunteers is to enable UN Volunteers to maintain a secure standard of living at duty stations in line with United Nations standards without incurring personal costs. The allowances should in no way be understood as compensation, reward or salary for the service of United Nations Volunteers. Payment of allowances will begin from the date of service commencement based on the specified eligibility criteria, volunteer assignment location, contract type and category. - You will receive a monthly living allowance: US$2,451.64 Entry lump sum (one-time payment): US$4,000 Exit allowance (per month of service, paid upon completion of contract): US$225 Family allowance: US$250 per month for one dependent. $450 per month for two or more dependents
- You will get medical and life insurance.
- Leave entitlements:
- Annual leave: 2.5 days accrued per calendar month
- Approved Sick Leave: UN Volunteers are entitled to up to 30 days of approved sick leave per year. This amount is reset every 12-month cycle.
- Unapproved sick leave: 7 days for 12 months and 4 days for shorter assignments.
- Learning leave: 10 working days for each consecutive 12 months (shorter assignments are prorated).
- Maternity leave: 16 weeks.
- Paternity leave: 10 days.
