Opportunity description
The United Nations Volunteers (UNV) program announces a volunteer opportunity as an Administrative Assistant in Egypt. You will work with the Regional Immunization, Vaccine and Polio Program team to support immunization programs in the 22 Member States of the Eastern Mediterranean Region.
Duties & responsibilities
You will be responsible for:
- Providing full administrative support in line with the WHO Style Manual.
- Reviewing and sending correspondence, reports, documents, etc.
- Drafting presentations as directed by professional staff.
- Following up on the implementation of program activities.
- Responding to and acting on telephone enquiries.
- Assessing the urgency of program matters and referring them to appropriate staff for action.
- Informing and reminding professional staff in the unit of deadlines, providing supporting materials when needed.
- Organizing travel of unit staff, including raising Travel Requests (TRs) in the General Management System (GSM), completing travel programs, hotel reservations, etc., and following up and maintaining records related to the submission of official travel reports.
- Providing full administrative support for inter-country meetings of the unit.
- Collecting and processing all necessary documentation, contacting participants, issuing travel orders, executing payments to participants, following up on travel requests and completing logistical and financial arrangements.
- Following up on the availability of funds and financial expenditures in accordance with the approved work plan, initiating disbursements, and liaising and coordinating with country offices on the implementation of the work plan related to the program concerned.
- Initiate and process various transactions in GSM, including procurement of goods and services, completion of necessary forms, obtaining approvals for APWs and submission of documentation to the Administrative Assistant, and following up with concerned parties on receipt of finished products and completion of payments.
- Assist/replace administrative staff in the unit, and perform any other related duties within your scope of responsibility when required.
- Provide effective, timely, responsive, customer-friendly and high-quality support to WHO/EMRO and its beneficiaries.

Eligibility criteria
You must have:
- You must be between 18 and 80 years old.
- You must be a citizen or legal resident of the country of opportunity.
- 3 years of experience in an administrative field.
- Excellent IT skills, including word processing, database applications, presentation software and the Internet.
- The ability to think strategically; express ideas clearly; and work independently and within a team.
- Able to adapt to diverse environments and willing to work with people from different linguistic, national and cultural backgrounds.
- Fluency in English.
- Fluency in Arabic.
- Bachelor’s degree or equivalent in business administration, social sciences or any related field.
- Communication and teamwork skills.
- Respect and promote individual and cultural differences.
