Opportunity description

The United Nations Volunteers program offers a volunteer opportunity as an Executive Assistant in Saudi Arabia.

Duties & responsibilities

You will be responsible for:
  • Facilitate the exchange of information with the project team.
  • Disseminate information to project staff and/or external partners.
  • Follow up on deadlines, commitments, actions taken, and coordinate the process of collecting and submitting reports.
  • Drafts routine correspondence, public briefing notes, documents, reports, and meeting minutes upon request.
  • Receiving senior officials and answering calls/inquiries tactfully and diplomatically.
  • Managing travel, meetings, workshops and appointments.
  • Organizing workshops, training courses and various events if necessary.
  • Ensure effective and confidential management of timetables, organize regular and ad hoc meetings, prepare minutes and summaries of actions to be taken, and follow up with various contact points.
  • Adhere to appropriate protocols and correspondence guidelines when communicating with government and other external partners.
  • Enhance your knowledge and understanding of the concept of volunteering by reading relevant UNV and external publications and actively participating in UNV activities (for example in events marking World Volunteer Day).
  • Recognize and build on traditional and/or local forms of volunteering in the host country.
  • Promote or advise local groups in the use of online volunteering or encourage individuals and relevant local organizations to use the UNV online volunteering service whenever technically possible.
  • Assistance with the UNV Buddy program for newly arrived United Nations Volunteers.

Eligibility criteria

You must have:

  • You must be between 27 and 80 years old.
  • You must be a citizen or legal resident of the country of opportunity.
  • 3 years of experience in the field of secretarial and administration.
  • Experience in programs/projects at the national or international level.
  • Experience using computers, office software packages (MS Word, Outlook, Excel, etc.), database packages, and web-based management systems such as ERP.
  • It is preferable to have previous experience working with government agencies in the Saudi Arabia or with the United Nations system.
  • It is preferable to have a university degree in business administration, public administration, or any related field.
  • Ability to communicate in a clear and concise manner, both through written and verbal communication, designing messages and choosing communication methods depending on the target audience.
  • Excellent drafting and reporting skills.
  • Accuracy and professionalism in document production and editing.
  • Ability to work effectively in a multicultural team of international and national staff.
  • Ability to work with minimal supervision and meet tight deadlines.
  • Interest and passion for the work of the United Nations Volunteers/United Nations Development Program, and volunteer work as a mechanism for lasting development.
  • Experience in the field of management and business administration.
  • Fluency in Arabic and English
  • Adaptability and flexibility.
  • Creativity skills.
  • Planning and organization skills.
  • Professionalism at work.
  • National UN Volunteers in Saudi Arabia are entitled to:
    • A monthly living allowance of 13,080.41 Saudi riyals.
