Sapphire's client is a high-profile individual and she is looking for a detail-orientated executive office manager to support her. This job is only open to female candidates as you will be traveling with the client when needed. The ideal candidate will have experience working with HNWIs and possess excellent written and verbal communication skills. For the right candidate, accommodation will be provided.
Duties & responsibilities
You will be responsible for:
- Being the point of contact for the individual.
- Managing a busy diary, including booking meetings, lunches, breakfasts, appointments, high-profile appearances, and endorsements.
- Speech writing and written communication include letters, thank you notes and formal correspondence, therefore excellent written English is essential.
- Support with preparations for board meetings.
- Organizing and managing travel, both domestic and foreign, including flights, cars, chauffeur-driven pick-ups, and transfers, visas, and private jets and helicopter travel.
- Managing all aspects of household staff in multiple properties locally and internationally, including payroll, uniforms, and all administration concerning employment and HR issues.
- Organizing family time efficiently including holidays, events, appointments, and transport.
- Building key relationships and managing all communications, troubleshooting when necessary, and coordinating effectively.
- Maintaining a highly proactive stance on all projects both personal and professional, whilst ensuring integrity and trust at all times.
- Acting as a gatekeeper at all times, filtering both internal and external communication to maximize time effectively and ensuring the right people have the appropriate access.
- Being involved wherever needed.
Eligibility criteria
You must have:
- Be female as will often travel with the client at short notice.
- The ability to work occasional evenings and weekends.
- Previous GCC experience and understands of the culture.
- Trustworthy, disciplined, structured, and well-organized are a prerequisite.
- Excellent written and spoken English.
- This role is only open to candidates who are prepared to live in Abu Dhabi.
- Bachelors degree.
- Self-motivated, professional, and capable of managing workload and prioritizing tasks in a fast-paced ever-changing environment.
- Highly confidential and discreet.
- Excellent interpersonal skills.
- 3+ years as an Office Manager, Executive Assistant or similar role.
- Experience working with HNWIs.
- Advanced Microsoft Office skills.
- Strong organization and project management skills.
- Excellent attention to detail.
- Understands regional Protocol.
