Opportunity description

United Nations Volunteers Program is offering a volunteer opportunity as an Administrative Assistant in Lebanon. You will provide administrative and logistical support to the OCHA team to ensure the effective and efficient functioning of the office, under the direct supervision of the Administrative and Financial Officer and in close cooperation with the relevant administrative unit. This opportunity aims to:

  • Strengthening coordination mechanisms at the strategic level, in support of the Humanitarian Coordinator, the Technical Country Team, and the inter-sector to improve the planning and monitoring of the joint response across all sectors.
  • Analysis of humanitarian needs and gaps and appropriate response.
  • Advocating for improved refugee protection and humanitarian access to humanitarian agencies.

Duties & responsibilities

You will be responsible for each of the following, within the delegated authority of the OCHA Head of Office and under the direct supervision of the OCHA Administrative and Finance Officer or authorized representative(s):

  • Provide administrative support for meetings, conferences, workshops, and other events including scheduling and sending invitations, reserving meeting rooms and facilities, preparing documents, and distributing related materials.
  • Coordinate with the United Nations Department of Safety and Security (UNDSS) inside the ESCWA building to ensure access for visitors and drivers to prepare meeting rooms.
  • Organize the weekly meeting of the team, which includes the agenda, meeting minutes, and action points.
  • Liaison with visitors and staff, arranging appointments and meetings and acting as a translator when needed.
  • Arranging hotel reservations for missions and coordinating with local authorities for official visits.
  • Assisting drivers in arranging vehicle transportation, preparing a schedule for drivers, and checking daily vehicle history.
  • Support the preparation of security clearances for trips inside Lebanon.
  • Assist the Administrative and Finance Officer to follow up with UNDP on the recruitment process for local staff.
  • Assisting the administrative and financial officer in preparing travel requests.
  • Perform any other duties as requested by the supervisor and/or the office head.

Eligibility criteria

You must have:

  • You must be between 27 and 80 years old.
  • You must be a national or legal resident of the country of assignment.
  • 3 years of experience in accounting, business, public administration, or any other related field.
  • Preferably have work experience in the United Nations or any other international development organization.
  • Excellent oral and written skills in both English and Arabic.
  • Accuracy and professionalism in document production and editing.
  • High interpersonal skills; cultural and social sensitivity; The ability to work inclusively and collaboratively with a range of different partners, including community members in various religious and youth organizations, and authorities at various levels; Familiarity with communication tools and approaches used in the field of development.
  • Ability to work and adapt professionally and effectively in a challenging environment. Ability to work effectively in a multicultural team of international and national staff.
  • Computer skills, including the ability to work on various MS Office programs (Excel, Word, etc.) and email/internet; Familiarity with database management; and office technology equipment.
  • Sound security awareness.
  • A connection or interest in humanitarian work, volunteer work as a mechanism for permanent development, and the United Nations system.
  • Experience in management, business management, logistics, and warehouses.
  • Fluency in the Arabic language.
  • Proficiency in English.
  • It is preferred that you have a working knowledge of the French language.
  • Bachelor's degree or equivalent in accounting, finance, business, public administration, or economics.
