The United Nations Volunteers (UNV) programme is offering a national volunteer opportunity for an Office Associate with the Food and Agriculture Organization of the United Nations (FAO) office in Port Sudan.
The volunteer will support the Office of the FAO Representative by organizing correspondence, meetings, official travel, documents, and administrative tasks. This role will help ensure the efficient operation of the office and support the implementation of food security and sustainable agriculture programmes in Sudan.
Opportunity Details
- Duty station: Port Sudan, Sudan.
- Host organization: Food and Agriculture Organization of the United Nations (FAO).
- Assignment type: National Specialist UN Volunteer.
- Working arrangement: On-site at the United Nations office.
- Working hours: Full-time.

Duties & responsibilities
- Manage and monitor various forms of correspondence and documentation, including confidential or sensitive materials.
- Ensure that correspondence is directed to the appropriate parties and answered within the required deadlines.
- Organize the supervisor’s schedule, arrange appointments, and receive visitors.
- Coordinate official travel arrangements and missions.
- Organize high-level meetings and prepare agendas, invitations, and supporting documents.
- Record meeting minutes and follow up on decisions and required actions.
- Coordinate the work of administrative support staff and monitor requests and deadlines.
- Establish internal systems for tracking correspondence, documents, and workflow.
- Prepare responses to unusual and sensitive inquiries.
- Follow up on the preparation of reports, briefing notes, and official correspondence.
- Review the formatting and style of documents to ensure compliance with the organization’s standards.
- Conduct research and prepare briefing materials and concise information for the supervisor.
- Provide informal translation of correspondence and documents when required.
- Enter and monitor transactions through the organization’s electronic administrative systems.
- Assess administrative support needs and resolve day-to-day operational issues.
Eligibility criteria
Applicants must meet the following requirements:
- Be a Sudanese citizen, a legal resident of Sudan, or hold refugee status in the country.
- Be between 18 and 60 years old.
- Have completed at least secondary education.
- Be fluent in Arabic.
- Working knowledge of English is considered an advantage.
- Have experience in administration, office management, or a related field.
- Be proficient in Microsoft Office, internet use, and office technologies.
- Be able to handle confidential documents and information.
- Possess strong planning, organizational, and time-management skills.
- Be willing to work full-time throughout the assignment period.
- Be able to live and work under the operational conditions in Port Sudan.
