Opportunity description
The United Nations Volunteers program offers a volunteer opportunity as a program assistant in Egypt. You will be responsible for ensuring the establishment of an effective WHO country presence to implement WHO country cooperation strategies that are aligned with the health and development agendas of Member States, and aligned with UN country teams.
Duties & responsibilities
You will be responsible for:
- Provide full administrative support for your program.
- Draft, review and revise correspondence, reports and documents in consultation with your supervisor.
- Independently writing correspondence of an administrative nature.
- Take notes in meetings.
- Providing interpretation/informal translation when needed.
- Preparing and processing travel requests for team members using GSM, arranging for visa issuance, security clearance, flight and hotel reservations, and following up on travel related issues for national and international missions.
- Scan, record, transmit and follow up on correspondence and documents and assess their urgency or critical nature to bring them to the attention of responsible staff.
- Follow up on implementation aspects of country activities, funds allocated to project/program budget levels and financial expenditures, according to the approved country of the work plan.
- Initiate and process various transactions in GSM, including the purchase of goods and services.
- Maintain and update technical documents and correspondence (electronic/hard copies and databases if applicable).
- Create basic reference materials when needed; Access and retrieve relevant material.
- Completion of all administrative and logistical preparations necessary to organize meetings held in the country (working groups, seminars/courses, workshops) and paying the daily allowance to the participants.
- Respond to and take necessary action to telephone inquiries in a timely manner.
- Assessing the critical nature of technical issues and directing them to appropriate staff for response, coordinating appointments for supervisors, establishing and maintaining an appropriate computerized information system for the Ministry of Health, UN officials, WHO collaborating centres, etc.
- Briefing colleagues on the administrative operations of the general office.
- Participate in field visits if necessary.

Eligibility criteria
You must have:
- Be between 27 and 80 years old.
- Be a citizen or legal resident of the country of opportunity.
- 5 years of experience in management roles.
- Fluency in Arabic.
- Fluency in English.
- Bachelor's degree or equivalent in business administration, social sciences, or any related field.
- Good skills in filing and organizing files.
- Ability to maintain good working relationships with staff, experts and visitors.
- Ability to translate routine correspondence into English.
- Good time and stress management skills.
- Knowledge of WHO rules, manuals, practices and procedures and the WHO style guide applied at administrative level.
