Opportunity description

The United Nations Volunteers (UNV) programme, in collaboration with the United Nations Population Fund (UNFPA), has opened applications for one of the United Nations volunteering opportunities in Sudan, titled Administrative Assistant/Protocol, to work on-site and full-time in Port Sudan for 6 months, with the possibility of extension.

This opportunity gives the volunteer the chance to gain professional and practical experience within a United Nations agency and contribute directly to supporting the daily operations and humanitarian and development programmes of UNFPA in Sudan, while developing skills in administration, protocol, logistics, and institutional coordination.

The volunteer will work under the supervision of the Administrative Officer and will contribute to providing administrative services in accordance with UNFPA policies and procedures. Responsibilities include following up on visa and permit processes, arranging accommodation for staff and visitors, organizing events and workshops, supporting procurement, managing vehicles, and coordinating office services to help ensure the efficient operation of the office.

Duties & responsibilities

Key responsibilities of the volunteer include:

  • Following up on visa, work permit, and residency procedures for international staff, their families, and visitors.
  • Issuing and renewing diplomatic cards, licenses, and required permits.
  • Following up on government clearances required for UNFPA operations.
  • Managing guest house and accommodation arrangements in Port Sudan.
  • Following up on payments related to maintenance, electricity, rent, water, and office supplies.
  • Preparing periodic reports related to facility and accommodation management.
  • Preparing payment requests, invoices, and purchase orders.
  • Supporting the organization of conferences, workshops, meetings, and events.
  • Contributing to procurement procedures for goods and services.
  • Managing and maintaining administrative files and records.
  • Supporting the coordination of vehicle movements and official missions within Sudan.
  • Following up on vehicle maintenance, registration, fuel consumption, and safety procedures.

Eligibility criteria

Applicants must:

  • Be between 18 and 60 years old.
  • Be a Sudanese citizen, legal resident of Sudan, or recognized refugee in Sudan.
  • Have at least 3 years of relevant experience related to the assignment.
  • Be fluent in Arabic.
  • Be fluent in English.
  • Hold at least a high school diploma.
